Putting AI to work on the busywork

Every organisation has them: the small, repetitive tasks that quietly eat the day. Clicking through screen after screen to update an order. Rekeying the same details into a form. Chasing a status that should be a glance, not a thirty minute search. None of it is the work that matters, and all of it adds up.

We've started a new service to deal with exactly that: workflow optimisation with AI. Rather than describe it in the abstract, we'll show you what it looks like in practice, through a project we recently shipped for our client Pannon Turfgrass.

What the service actually is

It begins with a workshop, not a tool.

We sit down with your team and map how work really moves through the organisation, not the tidy version on the org chart but the everyday reality. Then we go looking for the time killers: the redundant, manual, repetitive tasks that overload people without adding value. The kind of work everyone tolerates because "that's just how the system works."

From those findings, we build. And when we say AI, we don't mean a chatbot bolted onto the side of your business. We mean custom AI agents, designed, built, and integrated specifically for your workflow, living inside the systems your team already uses. The goal is simple: take the busywork off your people so they can spend their time on the work only they can do.

How it started with Pannon Turfgrass

The Pannon Turfgrass project didn't begin as an "AI project." It began as a conversation about how AI might improve their ordering and client management, the engine room of their operation.

Pannon Turfgrass runs on a custom ERP system we built for them, covering order management, client relationships, and daily operations. It worked well. But as we looked closely, a familiar pattern emerged: a lot of skilled staff time was being spent on tasks that didn't need a human at all. Navigating long forms. Clicking through multiple screens to make a single change. Manually pulling together information that the system already held. Redundant steps, repeated all day, every day.

That was the opening. So we built an AI agent for it.

What we built

The agent works on two fronts.

For clients, it now guides them directly through the ordering process, with minimal involvement from staff and often none at all. What used to require someone on the Pannon team to shepherd along now runs as a streamlined flow that clients move through themselves. Ordering became faster and significantly more effective, and the team was freed from being a manual middle layer.

For staff, we integrated the AI engine directly into the ERP so the agent can act on orders without anyone navigating screen by screen. Instead of clicking through a rigid, step by step interface, a team member can simply trigger what they need, and the agent can handle several requests in parallel rather than one slow task at a time. In practice, that means:

  • Generating invoices on demand
  • Modifying and updating order details without hunting through screens
  • Creating new orders dynamically, skipping the long step by step form
  • Getting quick answers on order statuses and where things are getting stuck
  • Pulling specific client and order statistics without building complex filters by hand

The throughline is the same on both sides: fewer manual steps, less navigation, less waiting, and a system that responds to intent rather than forcing people through a fixed path.

Early signs

The integration went live only a few weeks ago, so we're not putting numbers on the table yet, because that wouldn't be honest. What we can say is that early feedback from the Pannon Turfgrass team is that it's already helping streamline their workflows. The busywork is starting to disappear, which is exactly what it was built to do. We'll share measured results as they come in.

The same idea works far beyond Turfgrass

The specifics here are about orders and an ERP. But the principle underneath has nothing to do with turfgrass.

Almost every organisation runs on repetitive internal processes, and almost every one of them is carrying hidden time killers that drain staff and slow things down. Whether you run a school, a wellness resort, a manufacturer, or a service business, the same approach applies: find the tasks that don't need a human, design a custom agent to handle them, and integrate it where the work actually happens.

That's the offer. We come in, we look hard at how your team really spends its time, and we build AI that gives a meaningful chunk of it back.

Want to find your time killers?

If reading this made you think of a process in your own organisation that eats more time than it should, that's the conversation we'd love to have. We run a focused workshop to uncover where AI can make the biggest difference for your team, with no commitment beyond a clear look at your workflows.
